How do I get EC prior to 2004?

Property registered on or after 1/04/2004, the registration date stored digitally. ECs are available for download at Kaveri Online Services in 2-3 working days.

For property registered on or before 31/03/2004, the registration data must be manually retrieved at the sub-registrar office. Manual EC may be acquired in 5–7 working days.

The below sale deed was registered on 11–07–2002 in Jayanagar Sub-registrar office.

For property registered on or before 31/03/2004, EC application should be filed in the same sub-registrar office where the property was registered so we filed an EC application in Jayanagar sub-registrar office

We received manual FORM 15 EC from 2002 to 2004 in 5 working days. Refer to below image

How do I get an Encumbrance Certificate (EC) for BBMP e-Khata application?

An Encumbrance Certificate (EC) is proof of property ownership and holds immense significance in BBMP e-Khata application.


We need the following information about the property for EC application:

  • District
  • Taluk
  • Hobli/Town
  • Village
  • Property Number

My client purchased a new property from a builder, which means there is no previous transaction in this property, and registered the Sale Deed on 22–05–2015. We highlighted the registration date in below Sale Deed (refer to the arrow mark)


My client wants an EC for BBMP e-Khata application and we followed the below procedure:

We logged into Kaveri Online Services and clicked “START A NEW APPLICATION” on the home page, refer to the below image

Selected the option ENCUMBRANCE CERTIFICATE – (ONLINE EC), refer to the below image

We filled in the property information including District, Taluk, Hobli, village and property number. Refer to the below image


As mentioned above, the property was registered on 22–05–2015, we selected the Search period as below:

  • From Date: we selected 2 days before the registration date which is 20–05–2015
  • To Date: we selected today’s date.

We highlighted the search period in below image

Click on Search and the search result displays


The EC cost is Rs.130 for the period from 20–05–2015 to 10–10–2024 (today’s date), refer to the below payment page

Complete the Aadhaar-based e-sign

Submit the application


EC will be ready in around 3 working days. Click on the “Download Signed EC” to download the EC. we highlighted the download option in below image

The below image is our EC and we highlighted the EC number. we should provide this EC number in BBMP e-khata application


In the e-Aasthi website, we entered the above EC number in e-Khata application; therefore, we do not need to follow the conventional method of uploading the EC; simply entering the EC number is enough, and our EC data display automatically

In the image below, we highlighted the place where we entered the EC number and also highlighted the auto pop-up of our EC.

This completes the process of getting an EC and its significance in e-khata application

When searching online EC using flat number, how to remove transactions that are not relevant to my property?

Due to similarity in property description, other transactions appear with your property transaction in an online EC search

For Example: My apartment number is 001 in Kaikondrahalli Village, Bangalore

When I searched EC based on my Apartment number 001 in Kaikondrahalli village, 30 results were shown. It means 30 properties are registered in apartment number 001 in Kaikondrahalli village. We highlighted the serial number 30 in below image for your reference


Follow the below troubleshoot to fix this issue:

If you have too many transactions in your EC search, Press Ctrl + F and a search bar appears at top right corner. Refer to below image

In the search bar, type buyer’s name, seller’s name or registration number and press enter. I found my property transaction in Serial No. 4 based on the buyer’s name.

We highlighted the serial number 4 and registration number in below image for your reference

Copy the registration number and paste in “Property Description”.

Suppose you have more than one registration number like sale deed, MOD and Reconveyance deed. Copy & paste all the registration numbers in “Property Description”. Each registration number should be separated by comma (,)

In my case, I want the EC of my sale deed transaction. I copy & paste my sale deed registration number in “Property Description”. We highlighted “Property Description” with my registration number in below image for your reference.

 

Check the T&C boxes and click on “Proceed”. Refer to below image

Click on “Make Payment”. Refer to below image

Click on “E-Sign” and sign the application based Aadhaar number. Refer to below image

Click “Submit


In 3 working days, my signed EC was ready to download. Refer to the download option in the below image

In my signed EC, only my property transaction is shown (other transactions unrelated to my property are not shown).

My EC consists of 3 pages with only my sale deed transaction in it, sharing my EC for your reference.

How to Download a Digitally Signed Encumbrance Certificate (EC) on Kaveri Online Services

An Encumbrance Certificate (EC) is a vital document that details the transaction history of a property. It is essential for verifying clear title ownership and is often required during property sales, purchases, or loans.

This step-by-step guide will walk you through the process of downloading a digitally signed EC from the Kaveri Online Services portal of the Karnataka government.

Step 1: Access the Kaveri Online Services Portal

Visit the Kaveri Online Services website using the link below:

The home page looks like below


Step 2: Register on the Portal

To search and download an EC, you must first register on the portal.

  • Click on “Register” on the homepage.

  • Fill in your name, address, mobile number, and email ID.

  • A system-generated password will be sent to your email.

  • Your email ID serves as your username.

Step 3: Log in to Your Account

Log in using your registered email (username), the received password, and OTP authentication. The login page looks like below image


Step 4: Start a New Application

After successful login:

Click on “Start a New Application.”

Select “ENCUMBRANCE CERTIFICATE – (ONLINE EC)” from the application options.

Read the prerequisites for EC and click on Continue. Refer to below image


Step 5: Search for the Property

You can search for the EC using either:

  • Property Number, or
  • Party Name (Seller, Purchaser, or Claimant)

If you do not know the property number, choose Search by Party Name. Refer to the below image

Example Input:

  • District: Shivajinagar (for Bengaluru Urban, choose the correct jurisdiction)
  • Taluka: Krishnarajapuram
  • Hobli/Town: Krishnarajapuram
  • Village: Pattanduru Agrahara
  • Party Name: Satish XYZ
  • Search Period: From 01/04/2003 to 16/06/2023

Step 6: Download the EC

  • If you only require the Information Copy (non-signed version), click on the download icon.  Refer to below image

The information copy looks like image below (it has a watermark)

Note: The information copy is free and includes a watermark.


Step 7: Request a Digitally Signed Copy

  • Scroll down and click on “Declarations and Proceed.”

Refer to arrow marks mentioned in below image

  • Choose your preferred payment method: Net Banking, Debit/Credit Card, UPI, or QR code.

  • After payment, click on “Return to Application.”

Step 8: E-Sign the Application

  • Click on “E-Sign.”

Refer to below image

  • Select “Send for E-Sign”.

  • Enter your Aadhaar number and authenticate the signature.

The page directs to the successful submission of the application. Refer to below image

After successful submission, the application status will appear as “Pending at SRO.”


Within approximately 5 working days, it will update to “Application e-Signed by SRO.”


Step 9: Download the Digitally Signed EC

Once approved:

  • Click on “Download Signed EC” to obtain your certified Encumbrance Certificate in PDF format.

The digitally signed EC includes:

  • A QR code on every page for verification
  • A digital signature from the Sub-Registrar on the final page

How do I validate if a property is registered or not?

To validate the property registration, check the transaction details in ENCUMBRANCE CERTIFICATE (EC)

The registered sale deed looks like below image. In the below image, we encircled the date of registration, seller name and buyer name

We extracted the encumbrance certificate online on Kaveri Online Services to cross-check whether the property is registered. In the below encumbrance certificate (EC),

Column 3 represents the date of registration, the above sale deed was registered on 20th March 2021, same date is reflected in below EC

Column 5 represents the seller’s name, In the above sale deed, the seller name is Mr VIKEE, same name is reflected in EC

Column 6 represents the buyer’s name, in the above sale deed, the buyer’s name is Mr ANAND, same name reflects in below EC

Column 9 represents the registration number, the registration number in above sale deed matches to below EC.

It means the property is registered. If the property is not registered, data will not reflect in EC.

How do I get a Form 15 encumbrance certificate (EC)?

Get a “Form 15” encumbrance certificate (EC) online on Kaveri Online Servies, here is the weblink https://kaveri.karnataka.gov.in/landing-page

Following are the information required to get FORM 15 EC

  • Property Number (Flat number / House number / Site number)
  • District, Taluk, Hobli and village of the property

The fee for FORM 15 EC is Rs. 10

1st Year search is Rs. 30 and the subsequent year is Rs. 10 per year

I searched EC from 2004 to 2024, the total fee is Rs. 250, refer to the below screenshot

After the payment, esign the application based on your Aadhaar number and submit an application


The signed FORM 15 EC will be ready for download within 7 working days, refer to the below download option on Kaveri Online Services

The above EC is digitally signed hence you can notice a QR code at the bottom left corner in the above image

In case your property is registered before 2004, the FORM 15 EC is manually sealed and signed like below image
